Clients pay directly for services and may use a monthly superbill to request reimbursement from their insurance company.
Superbills are automatically posted to the client portal and are available upon request. Insurance reimbursement is not guaranteed and depends on your individual plan benefits.
-
A superbill is a detailed receipt that your therapist can provide for insurance reimbursement purposes.
It includes important information such as your name, date of birth, therapist details, diagnosis code, procedure codes, dates of service, and fees paid.
You may submit this document to your insurance company to request reimbursement for out-of-network therapy services.
-
Before beginning therapy, it's a good idea to contact your insurance company's member services department to better understand your out-of-network mental health benefits.
Consider asking:
Do I have out-of-network coverage for mental health services, including telehealth?
What is my annual deductible, and how much of it has been met?
How many therapy sessions are covered each year?
What reimbursement rate applies to CPT codes such as 90834 (45-minute session) and 90837 (60-minute session)?
Will I be responsible for a copay, coinsurance, or any other out-of-pocket costs?
Do I need prior authorization or a referral from my primary care provider?
What mailing address do you have on file for reimbursement checks or correspondence?
How do I submit a superbill (online portal, mail, or fax), and what is the filing deadline for reimbursement requests?
Having this information in advance can help you estimate your potential reimbursement and avoid unexpected costs. Be sure to write down the representative's name, the date of your call, and any reference number they provide for the conversation.the super bill (online portal, mail, fax)? What is the deadline?
-
Most insurance companies allow superbills to be submitted in one of three ways:
Online through your insurance portal
By fax
By mail
While all three methods are generally accepted, submitting your superbill through your insurance company's online portal is typically the fastest and most secure option. Online submission helps protect your privacy, allows for quicker processing, and often makes it easier to track the status of your reimbursement claim.
Be sure to ask your insurance provider how they prefer claims to be submitted and whether there are any deadlines or specific requirements for reimbursement requests.
-
Timelines may vary depending on your insurance provider.
If approved, your insurance company may reimburse a portion of your therapy costs, often after any applicable copay, coinsurance, or deductible has been applied.
If your claim is denied, contact your insurance provider to request an explanation of the denial and to learn about any next steps or appeal options that may be available.
Please note that reimbursement is not guaranteed and is determined by your individual insurance plan and out-of-network benefits.

There are a few exceptions where it may be required to disclose information:
If there is a serious and immediate risk of harm to yourself or another person.
If there is suspected child abuse, elder abuse, or neglect that must be reported by law.
If you provide written authorization to coordinate care with another provider, such as a physician, psychiatrist, or other healthcare professional.
If records are requested through a valid court order, subpoena, or other legal requirement.
If you have any questions about confidentiality or its limitations, feel free to discuss them before or during treatment so you can feel informed and comfortable with the therapeutic process.
